Terms of service
Last updated 31 October 2026 · Early-access version · Applies to aibotoffice.ai and the /v1 API
These terms are an agreement between you (the person or company using Bot Office, including agencies using it for clients) and Bot Office ("we", "us"), the trading name of the operator of aibotoffice.ai; our legal entity name and postal address are provided on request at hello@aibotoffice.ai and will be published here before general availability. By creating a workspace, sending events to the API, or using the website, you agree to them. If you use Bot Office for a company, you confirm you can bind that company.
1. Early-access software
Bot Office is early-access software. Features may change, be removed or be unavailable without notice; some parts of the product are shown as demos with a visible DEMO badge; and we may limit how many workspaces, agents or events you can use. Things marked "coming soon" or "planned" on the site are not promises of delivery dates.
2. What Bot Office does and does not do
Bot Office renders a visual office from events that your own automations and AI bots send us. It is a window onto your bots, not the bots themselves. If you add connections, it can also carry out actions your bots ask for in the tools you connected, under the rules you set.
- Bot Office does not run your business. Your bots run on your platforms (n8n, Make, Zapier, GPT Actions, Claude, Grok, Gemini, voice platforms and others) under your control. Bot Office does not decide what your bots do.
- Actions happen only through connections you add. Without a connection, Bot Office takes no action in any tool. With one, it sends a request to that tool only when one of your bots asks for an action that the bot's powers allow and, where your settings require it, a person you named has approved it. You choose the connections, the powers, the limits and the approvers, and you are responsible for the actions they allow. The permissions you give the credentials in your own tools still apply.
- Connections are early-access. Each connection has been tested only against practice servers that imitate the tool. None is certified or endorsed by the tool's maker. Test with non-production accounts first; an action cannot be undone by Bot Office once the tool has carried it out.
- No earnings claims. "Minutes saved", "hours saved" and any ROI figure on the site or in your office are estimates computed from the values your bots report (or conservative defaults). They are not a promise of savings, revenue or results. Your results depend on your bots, your business and your choices.
- Not professional advice. Nothing in the product, the templates, or any future starter packs or guardrail defaults is legal, financial, medical or compliance advice. Confirm your obligations with your own advisors.
3. Your workspace and keys
You are responsible for keeping your office access code, bot URLs and approver keys secret and for everything sent with them. Keys are shown once. If one leaks, rotate it (the office access code and share links through the API; bot URLs on the Connect page; approver keys by revoking them) or ask us to help. Share links let anyone with the link watch the office; share them accordingly. You must give us accurate information on the early-access list and must not impersonate another person or company.
4. Acceptable use
You agree not to use Bot Office to:
- Brand from sites you have no rights to. Do not scrape, preview, publish or save an office branded from a website unless it is your own or you have the owner's permission (for agencies: your client's). Public previews exist so you can show a prospect what their office would look like; they carry a watermark and expire.
- Make unlawful calls or texts. Do not connect bots that place automated or AI-voice calls, send texts or send bulk email without the consent, disclosure, Do-Not-Call, quiet-hours and unsubscribe handling the law requires where the recipient lives (for example the TCPA, CAN-SPAM and state bot-disclosure laws in the United States, and the GDPR, ePrivacy rules and the AI Act in the EU). Cold outbound AI voice calls to consumers will not be supported by any Bot Office starter pack.
- Send personal data we told you not to send. Task titles and messages are for short labels, not names, contact details, health information, card numbers or conversation content. We scrub what we can detect, but you are responsible for what you send.
- Abuse the service. No attempts to access another workspace, bypass rate limits, probe the brand fetcher against private networks, reverse engineer the service, resell it as your own without an agreement, or interfere with its operation.
- Break the law or infringe anyone's rights.
You are responsible for consent and disclosure laws. Starter packs are not available at launch. When they ship they will carry guardrail defaults (artificial names, "I'm an AI assistant" disclosures, consent records, opt-out words, calling hours). Until then, and in any case, such defaults are a starting point, not compliance; the launch templates and tool schemas contain no guardrails of their own. Confirming that your bots comply with the laws that apply to you and your contacts is your responsibility.
5. Brands and client permission
When you connect, save or publish an office that uses a logo, name or colors, you confirm that you own that brand or have permission from its owner to use it in this way. Brand owners may request removal of a preview or saved office at privacy@aibotoffice.ai and we will act on valid requests. We may remove any office we reasonably believe infringes someone's rights.
6. The honesty standard
We commit to the Bot Office honesty standard: every animation in a live office comes from a real event; synthetic data always shows a DEMO badge; the chip says LIVE, REPLAY, DEMO or IDLE so you always know what you are watching; nothing is animated that did not happen. In return, you agree not to present a demo office as a live one to your clients or the public, and not to remove or hide the DEMO badge or the chip.
7. Your data
Events, agents, action records and workspace settings are yours. You give us a licence to store, process and display them for the purpose of running the service. Our privacy policy explains what we keep, for how long, and who the controller and processor are. You may export your workspace's non-secret data at any time, with the office access code through the API or by asking us. When a workspace is deleted, by its owner with the office access code or by us at your request, we delete its events, agents, keys and bot tokens, custom roles, connections and their credentials, pull connectors, action records and settings; we do not keep aggregate rollups at launch. Deletion cannot undo what your bots already did in tools you connected.
8. Availability
There is no service-level agreement at launch. We aim for the service to be available and for events to be accepted and queued rather than dropped, but we do not guarantee uptime, delivery times or data durability during early access. Do not rely on Bot Office as the system of record for your bots' activity; keep logs in your own tools. A public status page and an availability commitment are planned for a later phase.
9. Fees
Bot Office is free. We charge no fees for the service and do not collect payment details. If we ever introduce fees, we will post them on the pricing page at least 30 days before they apply and, where we have your email address, tell you by email; nothing will be charged without your agreement. Platforms you connect (n8n, Make, Zapier, OpenAI, Anthropic, xAI, Google and others) bill you under their own terms.
10. Intellectual property
Bot Office, its office engine, pixel art, kits, templates and documentation belong to us or our licensors. You may use them to run your office and may copy the templates and tool schemas into your own platforms. Platform names (n8n, Make, Zapier, OpenAI, Anthropic, xAI, Google and others) are the trademarks of their owners; Bot Office is not affiliated with or endorsed by them.
11. No warranty
The service is provided "as is" and "as available". To the fullest extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose and non-infringement. We do not warrant that the service will be uninterrupted, error-free or secure, that events will be delivered or rendered correctly, or that any estimate of time or money saved is accurate.
12. Limitation of liability
To the fullest extent permitted by law, Bot Office will not be liable for any indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, data or goodwill, arising from or related to the service or these terms, however caused. Our total liability for all claims in any twelve-month period will not exceed the greater of the amount you paid us in that period or one hundred US dollars (US$100).
Some jurisdictions do not allow certain limitations; in those places our liability is limited to the smallest amount the law permits. Nothing in these terms limits liability that cannot be limited by law.
13. Indemnity
You will defend and indemnify us against claims, losses and costs (including reasonable legal fees) arising from your bots' actions, from calls, texts or emails your bots send, from brands you used without permission, or from your breach of these terms.
14. Termination
You may stop using Bot Office at any time and ask us to delete your workspace at hello@aibotoffice.ai. We may suspend or terminate access immediately if you breach these terms, if your use creates legal or security risk, or if we discontinue the early-access service, in which case we will give reasonable notice where we can and allow you to export your data. Sections 7 and 10 to 15 survive termination.
15. Governing law and disputes
These terms are governed by the laws of the United States and of the state in which Bot Office is organised, without regard to conflict-of-law rules. Before going to court, you agree to contact us at hello@aibotoffice.ai and give us 30 days to resolve the dispute informally. Any dispute that is not resolved will be brought in the state or federal courts with jurisdiction over Bot Office's place of organisation, and each party consents to that jurisdiction. We will publish the specific state and venue here, with notice under section 16, before general availability.
16. Changes to these terms
We may update these terms as the product grows. We will update the date at the top and, for material changes, email customers with a workspace at least 14 days before the change takes effect. Continuing to use the service after that date means you accept the new terms.
